Rules and Regulations for College Clubs
To ensure smooth functioning and active participation, the following rules and regulations are established for all clubs:
Membership and Joining Guidelines
- Joining Period: Membership is open annually in July during the Club Registration Drive. Additional joining windows may open half-yearly in January, subject to club capacity.
- Membership Fees: A nominal annual membership fee is applicable and varies by club (to cover event organization and activity costs). Fees will be communicated during the registration period.
Leadership Structure
Each club will have the following leadership positions to manage its operations:
- President: Responsible for overall management, decision-making, and coordination of club activities.
- Secretary: Manages communication, schedules events, and ensures proper documentation.
- Treasurer: Oversees the club’s finances, maintains records, and ensures budget adherence.
- Activity Reports: The President, Secretary, and Treasurer will jointly prepare detailed reports of all activities, which must be submitted to the college administration after each event.

General Rules
- Active Participation: Members are expected to actively participate in events and activities. Non-participation in three consecutive events may lead to termination of membership.
- Code of Conduct: Members must maintain professionalism and decorum during all activities, representing SHEAT College positively.
- Collaboration Across Clubs: Cross-club collaboration is encouraged, especially for interdepartmental events or campus-wide activities.
- Feedback and Suggestions: Members can share constructive feedback and suggestions with the club leadership to improve the club's functioning.
Club-Specific Guidelines
- Cultural Club (Rangmanch): All performances must align with the cultural values of the college. Mandatory attendance is required for rehearsals.
- Sports Club (Champs Arena): Regular practice sessions are mandatory. Members must demonstrate sportsmanship during all competitions.
- Public Speaking, Debate, Workshop & Seminar Club (Brainiac Club): Members must adequately prepare for events. Plagiarism in content is strictly prohibited.
- Technical & Coding Club (Jargons): Attendance at workshops, hackathons, and coding sessions is mandatory. Project ideas must be approved by the club coordinator.
- Social Service Club (Youth4Change): Participation in at least one outreach activity per semester is mandatory. Donations and volunteering must align with college guidelines.
- Environment and Sustainability Club (GreenScape): Members are required to attend eco-awareness programs and contribute actively to sustainability projects.
- Event Management Club (Glitz & Glam): Members must actively participate in event planning, logistics, and execution. Punctuality is essential.
- The Social Media & Networking Club (Connectopia): Members must ensure quality and originality in photography, videography, and content creation. Timely submission of content is crucial.
- Strength | Health | Empowering Women Club (SHE Club): Members are expected to promote health, hygiene, and women empowerment initiatives actively. Attendance in workshops and outreach programs is mandatory.
Attendance and Participation
- Attendance at club meetings, events, and activities is mandatory.
- Members must inform club coordinators in advance if unable to attend any event.
Leadership Selection
- Leaders (President, Secretary, Treasurer) will be selected through an election process or based on merit and active contribution to the club.
- Leadership roles will be reviewed annually, and new appointments may be made during the registration window.
Contact and Communication
- All official club communications will be shared via email or WhatsApp groups. Members must stay updated and respond promptly.
